The Ultimate Mini Session Checklist
Ensuring You Never Forget a Thing
Over the last few years doing family mini sessions, I've learned that the key to a smooth, successful, and stress-free mini session event is all about the preparation that goes into it. Today, I'm sharing my ultimate checklist that covers everything from pre-session prep to post-session tasks. Whether you're new to mini sessions or looking to up-level your process, this guide will help ensure you never forget a thing!
Pre-Session Prep (A few days - 1 Week Before)
Admin. Tasks
- Confirm all bookings through your scheduling system (e.g., Session) 
- Verify that all clients have completed necessary paperwork (contracts, questionnaire, etc.) 
- Ensure all payments or deposits have been received 
- Review any special requests or notes from clients 
Location Prep
- Scout the location and make sure it’s going to work as planned 
- Check sunrise/sunset times for optimal lighting 
- Obtain any necessary permits or permissions 
- Plan for potential weather issues and have a backup location if needed 
Client Communication
- Send prep emails to clients with session details, outfit suggestions, and what to expect. 
- Provide directions to the location and parking information. 
- Remind clients of any props or special items they should bring (if needed). 
Equipment Check
- Clean all camera bodies and lenses 
- Format memory cards 
- Charge all batteries (camera, flash, etc.) 
- Check and clean any props or backdrops you plan to use 
Session Planning
- Review your shot list and workflow 
- Plan transitions between poses to maximize time 
- Prepare age-appropriate games or prompts for engaging children 
Day-of Essentials
Camera Gear
- Camera body (plus backup if available) 
- Lenses (bring more than 1) 
- Memory cards (more than you think you'll need!) 
- Batteries (camera and flash if used) 
Styling and Comfort Items
- Blanket or sheet (for sitting poses or as a backdrop) 
- Small step stool (for height variation in poses) 
- Water bottles (for you and as backup for clients) 
- Snacks (for energy between sessions) 
- Sunscreen and bug spray if needed 
- Hand sanitizer and wipes 
Client Experience Enhancers
- Bluetooth speaker (for playing music to help clients relax) 
- Small toys or noisemakers (to capture attention) 
Practical Essentials
- Business cards 
- Safety pins (for last-minute fixes) 
- Lint roller and stain remover pen 
- Hair ties and bobby pins 
- Weather-appropriate clothing 
Post-Session Tasks
Immediate After-Session
- Thank clients and remind them of when to expect their photos 
- Clean and pack up all equipment 
- Check the area to ensure nothing is left behind 
Same Day
- Back up all images to at least two separate locations - Example: External hards drives / cloud backups 
- Send automated thank-you emails through your booking system 
- Review any notes or special requests from the sessions 
Within 48 Hours
- Begin culling images 
- Update your bookkeeping with any additional expenses from the day 
Within Your Promised Delivery Timeframe
- Complete editing of all selected images 
- Prepare online galleries for each client 
- Send gallery delivery emails through your booking system 
- Follow up with clients to ensure they've accessed their galleries 
One Week After Gallery Delivery
- Send follow-up emails to clients asking for feedback and reviews 
- Share favorite images on your social media and blog (with client permission) 
- Analyze the success of the mini session day and note any areas for improvement 
By following this checklist, you'll be well-prepared to capture beautiful memories for your clients while running an efficient and professional mini session business.
